Here's the honest starting point: FieldEdge doesn't publish export instructions where the public can read them. Its knowledge base, Navigator, is a members-only login,1 and its support site runs on a customer portal.2 The step-by-step instructions you'll find on the open web come from other software vendors who import FieldEdge data, and they don't fully agree with each other.
So this guide doesn't draw you a click path we can't source. It does three things instead. It shows the seven files to ask for and what each one becomes. It gives you a request letter to send FieldEdge support and a timeline for chasing it. And it covers what the public vendor guides describe, what can't be exported at all, and what the service terms say about your data when you leave.
What you'll end up with
These are the seven exports to request. The right-hand column shows what the TradesWork importer does with each one, if TradesWork is where you're going. The same seven files are worth having whatever you move to.
- CustomersImportsCustomersName, type, phone, email, billing address, balance and notes. Matched by FieldEdge customer ID on re-import.
- LocationsImportsService locationsEach service address linked to its customer. Drop it with equipment so equipment lands on the right address.
- EquipmentImportsEquipment at each locationMake, model, serial, install date and warranty end. Links by location ID, or by an address that matches a location.
- Work ordersImportsJob historyNumber, customer, location, status, dates, total and technician. History only; it never posts to accounting.
- InvoicesImportsInvoicesNumber, dates, total, balance and status. History only; it never posts to QuickBooks.
- Service agreementsImportsMemberships, billing heldType, status, dates, price, billing frequency and next bill date. Nothing bills in TradesWork until you switch billing over.
- Flat rate price bookImportsPrice bookCode, name, description, category and price, plus member price when that column is in the file.
Before you start: dates and access
Find your renewal date first. FieldEdge's legal link points to Xplor's US SaaS Terms of Service. They say the agreement auto-renews for 12 months unless either side gives written notice at least 60 days before the period ends.3 Exports can take a while when support has to run them, so start well inside that window. Your signed order form can set different terms; read it.
Check who can export. FieldEdge doesn't publish which user roles can export lists or run reports. Have your office admin, or whoever holds the main account, do the work so nothing is hidden by permissions.
Know what your plan includes. The pricing page lists these differences, and they matter for an export project:4
| On your FieldEdge plan | Select | Premier | Elite |
|---|---|---|---|
| Reporting | Yes | Yes | Yes |
| Saved reports | None | 10 | Unlimited |
| Support channel | Chat | Email or phone | Dedicated customer success rep |
| Outbound call recording | No | No | Yes |
| QuickBooks Online and Desktop sync | Yes | Yes | Yes |
On Select you may need to rebuild a report each time rather than save it. On Elite, send your export request to your customer success rep as well as support.
Send the request first
The single most useful thing you can do on day one is send a written export request. It costs nothing, it starts the clock on support's side, and it gives you a dated record if anything goes wrong later. FieldEdge's FAQ says its onboarding team moves business data into a new FieldEdge account,4 so the company handles data moves; ask what it offers for moving data out.
Copy this list into an email to FieldEdge support (and your customer success rep, if you have one). Ask them to reply on the same thread.
Your written export request to FieldEdge support
- Customers: all records including inactive, with contact details, billing address, customer type, balance and the FieldEdge customer ID
- Locations: every service address with its location ID and the customer ID it belongs to
- Equipment: type, make, model, serial number, install date, warranty end, and the location ID it sits at
- Work orders: number, customer ID, location ID, status, created and completed dates, technician and total, for all years
- Invoices: number, work order number, customer ID, invoice and due dates, total, balance and status, for all years
- Service agreements: customer ID, location ID, agreement type, status, start and end dates, price, billing frequency, next bill date and visits remaining
- Flat rate price book: task codes, names, descriptions, categories, standard price and member price
- Format (CSV or Excel), how the files will be delivered, how long it will take, and any fee
- Confirmation of how long you can still log in and export after you give notice
Two details in that list do most of the work. IDs let any new system link locations to customers and equipment to locations; without them, records have to be matched by name and address. All years and all statuses stop the export quietly defaulting to recent or active records.
A timeline for the request
Support queues move at their own pace, and your deadline is your renewal date, not the queue. Here's a plan we suggest, counted from the day you send the request. It's our suggestion, not a FieldEdge commitment.
Day 0
Send the request
Email the checklist above to FieldEdge support. Start the self-serve exports below the same day, so you have something in hand whatever happens.
Day 5
First follow-up
No files or no reply? Reply on the same thread, restate the seven files, and ask for an expected date.
Day 10
Narrow the ask
If a full export isn't offered, ask for the price book and active service agreements first. Those run your business on day one; old work orders are archive.
Day 15
Check what arrived
Compare row counts with FieldEdge's screens, spot-check customers you know, and list anything missing in one reply.
Day 20
Fall back to reports
For anything still missing, print or save to PDF the lists and reports your screens can show, so you can rebuild by hand.
Notice day
Only then give notice
Give written non-renewal notice once you have the files, at least 60 days before renewal under the linked terms.
What you can export yourself: the public guides
While you wait, you can try the screens yourself. Two vendors publish instructions for pulling data out of FieldEdge: ServiceTitan's help center5 and Sera's support site.6 Both are competitors of FieldEdge and of us. Here's how their instructions line up:
| Record | ServiceTitan's guide | Sera's guide | File named in guide |
|---|---|---|---|
| Customers | Customers tab, then Export | Customers in left menu, All tab, filters set to All, add all columns, three-dot menu, Export All as CSV | CustomerList.xlsx (ServiceTitan) |
| Invoices | Invoices tab, set all filters to All, then Export | Invoices, Completed tab, remove all filters, add all columns, three-dot menu, Export All as CSV | InvoiceList.xlsx (ServiceTitan) |
| Equipment | Reports, Customer Reports, Equipment List, Export | Reports, General, Equipment List, remove filters, add all columns, Export All as CSV | EquipmentList.xlsx (ServiceTitan) |
| Quotes | Quotes tab, then Export | Not covered | QuoteList.xlsx |
| Dispatch list | Dispatching tab, then Export | Not covered | DispatchList.xlsx |
| Price book | Not covered | Not covered | n/a |
| Service agreements | Not covered | Not covered | n/a |
The differences (a Customer Reports menu versus a General menu, Excel versus CSV) suggest the screens vary by version or have changed over time. Treat both as hints, not instructions. Notice that neither guide produces a separate locations file or a work order file; those two, along with the price book and agreements, are why the written request matters.
- 1
Export customers
Open the Customers screen. Clear every filter so all customers show, including inactive ones if the screen allows it. Add all available columns if there's a column picker. Then use Export. Count the rows and compare with the customer total on screen.
- 2
Export invoices with filters set to All
ServiceTitan's guide says to set all the filters at the top of the Invoices screen to All, because otherwise the export holds only the previous 6 months. If the export errors, run it one year at a time.
- 3
Export the equipment list
Both guides find the Equipment List under Reports, in different sub-menus. Remove filters, add all columns and export. Equipment ties to customer locations, so keep this file with the customer file.
- 4
Export quotes and the dispatch list
ServiceTitan's guide exports the Quotes and Dispatching tabs. Quotes help your sales follow-up; the dispatch list is a snapshot of open and scheduled work for the cutover.
- 5
Note what errored or was missing
Anything that failed, came out short or isn't on your screens goes into your next reply to support.
ServiceTitan's guide adds one practical tip worth keeping: if a report errors, try running it in one-year batches, and if it still fails, contact the software provider.5
What you can't export, or shouldn't count on
Cards on file. FieldEdge lists integrated payments on every plan,4 and the Xplor terms describe payment services as run by third-party processors, including Stripe connected accounts.3 Card data stays with the processor. Run a list of which customers have a card saved, if your screens show it, and plan to re-collect.
Photos and attachments. Neither public guide covers bulk export of photos, signed documents or attachments. Download the ones you need by hand: open warranties, signed agreements and anything tied to a dispute.
Setup and automations. Custom forms, automated alerts and reminders, saved report definitions, Proposal Pro templates and MarketingEdge campaigns are listed as features,4 but we found no export for them. Screenshot the settings you want to rebuild.
Call recordings. Outbound call recording is an Elite feature.4 If you need recordings for training or disputes, ask support how to download them before you leave.
Phone numbers. These move by porting to a new carrier, not by export. If a number sits inside FieldEdge's integrated texting, ask support in writing how it's released.
If support is slow or says no
- Keep it on one thread. Reply on the same email so the dates stay together.
- Ask for what's possible, not everything at once. Price book and active agreements first.
- Rebuild from reports if you must. If the price book can't be exported, a printed or PDF price list from your screens is still better than retyping from memory. For agreements, any list that shows active agreement customers, start dates and visits left lets you rebuild them by hand.
- Don't give notice until you have the files. Under the linked terms, your access ends when the agreement ends. After that, any export depends on goodwill.
Final export checklist
Before you give FieldEdge notice
- Renewal date and 60-day notice deadline on the calendar
- Written export request sent, with the seven files listed
- Customers exported, filters cleared, row count checked
- Invoices exported with every filter set to All, one year at a time if needed
- Equipment List, Quotes and Dispatching exported
- Price book and service agreements received from support, or rebuilt from printed reports
- Locations and work orders received, or the gap noted
- Key photos, signed agreements and recordings downloaded by hand
- Settings, forms and alerts screenshotted
- Every file named with its date, stored in two places, originals untouched
Name files clearly, for example fieldedge-customers-2026-10-15.xlsx and fieldedge-invoices-2024.xlsx. If 1,412 customers show on screen and the file has 1,000 rows, you've hit a limit or a filter.
Using the files in TradesWork
If you're moving to TradesWork, the importer reads the files you export. It doesn't log in to FieldEdge and has no API connection to it. Go to Settings, Integrations, open the import page and choose the FieldEdge source button. Drop the files (CSV, Excel or a ZIP, up to 50 MB per drop), confirm any columns it asks about, check the preview, and import into a separate sandbox company first if you like. Rows it can't import come back as a list you can download as CSV, fix and drop in again. Re-dropping newer exports updates the same records instead of duplicating them.
The FieldEdge migration guide walks through each import screen, the side-by-side run, cards, phone numbers and accounting. If you're still choosing, see TradesWork vs FieldEdge and FieldEdge alternatives.
