Simpro Premium has a dedicated Export area under Utilities, which makes it one of the easier field service systems to get master data out of. Customers, customer contacts, sites, the catalogue, pre-builds, assets, contract service levels, employees, contractors and vendors each export as a CSV or tab-delimited file, with filters for what to include.1 Job and invoice history comes out through reports, each downloadable as CSV.2
The gaps are full job detail, attachments and forms, which we couldn't find a documented bulk export for. Ask Simpro about those in writing, early.
This guide is written by TradesWork. We don't have a Simpro account, so we don't show Simpro's own screens. Each animated diagram below redraws the click path from the Simpro Help Guide in plain boxes, with a link to the article it comes from. Checked October 15, 2026, for Simpro Premium; other Simpro products and older versions differ.
What you'll end up with
About ten files. Two of them import into almost any new system; the rest are your archive and your reference for rebuilding. Here's how they land in TradesWork.
- Customers: Customer Details (.csv)ImportsCustomers and service locationsName, phone, email and address matched on screen. Each customer's address becomes their first service location.
- Catalogue (.csv)ImportsPrice bookEach row needs a name and a price. Part number, description, category and cost come across when matched.
- Customer Contacts, SitesKeep as archiveYour reference listExtra contacts and sites are added by hand.
- Assets (.zip), Customer ContractsKeep as archiveEquipment and memberships you set upUse them as the list. The spreadsheet importer takes customers and price lists only.
- Pre-Builds (.csv)Keep as archiveYour reference for kitsRebuild the ones you quote most.
- Sales Invoices, Aged Receivables, job reportsKeep as archiveYour archiveCollect open balances where you billed them.
Before you start: permissions and the Export area
Every export article in Simpro's Help Guide starts the same way: you need the right permissions in your security group, set under System › Setup › Security Groups.1 The ones that matter here:
| Export | Permission named in the Help Guide |
|---|---|
| Customers, contacts, employees, vendors, contract service levels | Export People3456 |
| Sites | Export Sites7 |
| Catalogue | Export Catalogues8 |
| Pre-builds | Export Pre-Builds9 |
| Assets | Export Assets10 |
| Reports | Reports2 |
The general pattern for every export is the same: Utilities › Export, click the area in the Exports menu on the left, choose Comma Separated Values (CSV) or Tab Delimited, adjust the options, click Export, then Download.1 Choose CSV every time. For assets and plant and equipment, a blue link to the file appears instead; right-click it and save it.1
In the US, Simpro says "vendor" instead of "supplier" and "inventory" instead of "stock".12
1. Export customers and contacts
- 1Utilities
- 2Export
- 3Customers
- 4Export customer details
The options that matter for a full export:3
| Option | Set it to | Why |
|---|---|---|
| Export Type | CSV | Easiest for other systems to read |
| What to Export | Customer Details, then run again for Customer Contacts | Details and contacts are separate files |
| Customer Type | All | Includes leads as well as customers |
| More Options | Customer tags and custom fields | Otherwise they're left out |
| Active / Archived | Show Active and Archived Customers | Archived customers still have history |
| Other filters | Leave blank | Name, email, state, created date, tag, group, profile, invoice method and account manager filters narrow the file |
Gotchas.
- Banking details. More Options also offers to include customer banking details.3 Leave that off. It's sensitive and you don't want it sitting in a spreadsheet.
- The CLI prefix. More Options can add a 'CLI' prefix to each customer ID.3 Pick one setting and use it every time, so IDs match across your customer, contact and report files.
- Details vs contacts. Customer Details holds the card file's Profile details and settings; Customer Contacts holds the people added under Profile, Contacts.3
2. Export sites
- 1Utilities
- 2Export
- 3Sites
- 4Export active and archived sites
Commercial customers in Simpro often have many sites. Go to Export › Sites, add custom fields under More Options, and choose Show Active and Archived Sites.7 Keep this file even if your next system can't import sites directly; it's your map of which customer owns which address.
3. Export the catalogue and pre-builds
- 1Utilities
- 2Export
- 3Catalogue
- 4Export all pricing tiers
Your catalogue is your price book. Go to Export › Catalogue and set:8
- Export Pricing Tiers: Export All Pricing Tiers, so every tier's prices come out.
- Show Default Tier Pricing Values (Markup and Sell Price): Yes.
- Search, vendor, storage location, manufacturer: leave blank for everything.
Gotcha: with several tiers you'll get several price columns. Before you import anywhere, decide which one is the price you charge homeowners.
- 1Utilities
- 2Export
- 3Pre-Builds
- 4Export all pre-builds
Pre-builds are your kits. The export filters only by search term and pre-build group.9 Most other systems can't import them as kits, so this file is mainly your reference for rebuilding the ones you quote most.
4. Export assets and contract service levels
- 1Utilities
- 2Export
- 3Assets
- 4Export assets
Export › Assets produces a ZIP file with a separate CSV or text file for each asset type, and every field in it can be imported back into Simpro.10 You can filter by contract (if you have Maintenance Planner), site or asset type; file names carry a timestamp.10
- 1Utilities
- 2Export
- 3Customer Contracts
- 4Export service levels
Export › Customer Contracts exports service levels across contracts: Contract ID, Asset Type, Service Level, Pre-build ID and Name, Time (mins) and Charge Rate as per contract.4 For a single contract, open the customer, go to the Rates tab, Contracts, the contract's Service Levels sub-tab and click the download icon.4 Together with assets, this is the list of who's under contract for what.
5. Export people and vendors
- 1Utilities
- 2Export
- 3Suppliers
- 4Export vendors
Run Export › Employees with active and archived employees,5 Export › Contractors, and Export › Suppliers three times: Suppliers, Contacts and Branches.6 Leave banking details off in both people and vendor exports. You may not import these anywhere, but contractor and vendor contact lists are tedious to rebuild from memory. The Help Guide also has export articles for labour rates and plant and equipment.1
6. Export job and invoice history through reports
- 1Reports
- 2View Reports
- 3Sales Invoices
- 4Search
Go to Reports › View Reports, pick a category on the left (or a Most Common Report), click the report, set the filters and click Search. Once it's generated, download it as a CSV spreadsheet.2 Simpro's most common reports are Job Productivity, Job Activity, Job WIP, Price Discrepancies, Stock Value, Stock Required, Profit / Loss Job, Aged Receivables, Sales Invoices and Monthly Breakdown.2 For a switch, run:
- Sales Invoices for every year you've used Simpro, one year per file.
- Aged Receivables on the day you stop invoicing in Simpro.
- Job Activity and Job WIP, so you know what's open at cutover.
- Profit / Loss Job and Monthly Breakdown, for year-over-year comparisons.
Simpro can email scheduled reports as PDFs,2 which are handy for owners but aren't data. Simpro also says its reports are job-based management reports and won't match your accounting package,2 so take your official financial history from your accounting system.
What can't be exported, and how to keep it
We searched Simpro's Help Guide and didn't find a documented bulk export for:
- Full job detail: notes, schedules, materials, labor and forms per job, beyond what reports show.
- Attachments and photos.
- Quotes in progress, beyond what job and quote reports show.
- Stored cards. Card details live with the payment processor. Plan to re-collect cards from customers who pay automatically.
Simpro has a Developer Center, and its pricing page lists three data feeds in the base plan,11 so routes may exist. Ask your Simpro contact in writing.
Written request to Simpro
- How can we export full job detail, notes and forms for every job?
- How can we bulk-download job attachments and photos?
- What happens to our data, and for how long can we reach it, when our agreement ends?
- What is our notice period and end date under our agreement?
Permissions and plan limits
| Item | What Simpro says | What to do |
|---|---|---|
| Export area | Utilities, Export; each area needs its permission1 | Ask an admin to tick the permissions first |
| File types | CSV or tab delimited1 | Choose CSV |
| Assets | ZIP, one file per asset type10 | Unzip and check each type |
| Reports | CSV download; scheduled reports email PDFs2 | Download CSV for history |
| Billing | Monthly or annual billing, priced on request11 | Check your agreement's end date and notice |
| Add-ons | Digital Forms, Maintenance Planner, SMS, GPS and others priced separately11 | Export add-on data before access ends |

Where to take the files
The customer details file and the catalogue are what most systems can import. Sites, assets, pre-builds and history are harder.
If you're moving to TradesWork, its spreadsheet importer reads the customer file (each customer with its main address) and the catalogue as a price book, with a column review, a preview and a sandbox company before anything touches your real account. Extra sites, assets, pre-builds as kits and history don't import, and TradesWork isn't built for projects or commercial multi-site work, so read TradesWork vs Simpro first. The full plan is in migrating from Simpro to TradesWork.
