A shop with 6 techs and 3 office staff pays $4,008 a year for Housecall Pro Max at its published annual price. The same six techs on ServiceTitan, at third-party estimates for its Essentials package, would run $21,600 to $28,800 a year before Pro products and an implementation fee. Most owners comparing the two are really asking one question: am I big enough that ServiceTitan's depth pays for that gap, or small enough to stay simple?
ServiceTitan and Housecall Pro both run HVAC, plumbing and electrical shops, but they're built for different businesses. ServiceTitan is a deep, quoted, contracted system for larger operations. Housecall Pro is a quick-to-start, published-price tool for small crews. This comparison uses each vendor's own pricing page and help center, checked October 15, 2026. Every ServiceTitan cost figure is labelled third-party.
Price at five shop sizes
Housecall Pro puts its plans on its pricing page: Basic $59 a month billed annually for one user, Essentials $149 for five, Max $299 for eight, and $35 for each extra user on Max. Monthly billing is $79, $189 and $329.1 ServiceTitan publishes plan names and says its "per-technician pricing is designed to fit your business", with no figures.2
Because recurring service plans are on Max only, we've priced every Housecall Pro row on Max, which is what a membership-selling HVAC or plumbing shop would buy.
| Shop | Housecall Pro users | Housecall Pro Max, annual | ServiceTitan Essentials [estimate] |
|---|---|---|---|
| 2 techs, 1 office | 3 | $299/mo = $3,588/yr | $7,200 to $9,600/yr, if no minimum applies |
| 4 techs, 1 office | 5 | $299/mo = $3,588/yr | $14,400 to $19,200/yr |
| 6 techs, 3 office | 9 | $334/mo = $4,008/yr | $21,600 to $28,800/yr |
| 12 techs, 3 office | 15 | $544/mo = $6,528/yr | $43,200 to $57,600/yr |
| 20 techs, 5 office | 25 | $894/mo = $10,728/yr | $72,000 to $96,000/yr |
The ServiceTitan column multiplies techs by the $300 to $400 Essentials range reported by Projul, a competitor citing FSM Advisor and ToolEdUp.3 QuoteIQ, another competitor, estimates a monthly minimum of about $1,500, which would lift the two smallest rows to $18,000 a year or more.4 Neither column includes Housecall Pro's unpriced add-ons, ServiceTitan's Pro products or payment processing.
Example only. Housecall Pro: published annual price, $299 plus one extra user at $35. ServiceTitan: 6 managed techs at a third-party estimate of $300 or $400 per month, before Pro products and implementation.
| Housecall Pro Max (9 users) | $4,008 |
|---|---|
| ServiceTitan Essentials, low estimate | $21,600 |
| ServiceTitan Essentials, high estimate | $28,800 |

Contracts
Contract terms differ even more than price. Housecall Pro has no long-term contract; you can upgrade immediately and downgrades take effect at the end of your billing period.1 ServiceTitan's terms live in your signed agreement, and its public Terms of Use say early termination owes the remaining payments.5 Third-party estimates put ServiceTitan implementation at $5,000 to $50,000 on top.
Who you pay for
ServiceTitan bills managed technicians, defined in its help center as anyone delivering revenue-generating work: service techs, lead and solo installers, comfort advisers and certain subcontractors. Helpers, apprentices and parts runners may not count, but ServiceTitan requires at least one managed technician on a job for work to be performed, and limits how often you can change a tech's license type.6
Housecall Pro counts users, and every login counts, office staff included. On Max, every user past eight is $35 a month, so the bill tracks your whole headcount rather than your field staff. That's still cheap in absolute terms: even at 25 users, Max is under $11,000 a year.

Features: where each one is stronger
ServiceTitan's depth
ServiceTitan's pricing page lists dispatching, scheduling, call booking, invoicing and a pricebook from Starter. Essentials adds mobile estimates and payroll management. The Works adds configurable payroll, advanced reporting, commission tracking and customizable memberships.2 On top sit eight Pro products: AI Virtual Agent, Marketing Pro, Contact Center Pro, Pricebook Pro, Fleet Pro, Scheduling Pro, Dispatch Pro and Field Pro. For a 40-tech shop with a call center and a marketing budget, that breadth is the point, and ServiceTitan is a large, growing company, with about 10,800 active customers and $961 million of revenue in fiscal 2026.7
Housecall Pro's speed and simplicity
Housecall Pro covers booking, dispatch, estimates, invoices, payments, a price book and job costing from Basic. Essentials adds routes, flat-rate pricing, commissions and QuickBooks Online sync. Max adds recurring service plans, the sales proposal tool, route optimization, an open API and Zapier access, plus a dedicated onboarding specialist.1
It also ships quickly. The May 2026 release added route-based scheduling, photo reports for customers, commissions on gross profit split between seller and installer, and automated sales tax.8
Where Housecall Pro shines
- Published plan prices and a 14-day trial of Max, no card
- No long-term contract
- Four AI helpers included free
- Self-serve setup in days
- Low cost even at 20+ users
Where it gets thin for larger mechanical shops
- Recurring service plans only on Max
- Every office login counts toward the plan
- CSR AI, Pipeline, Payroll and Voice have no published price
- Less depth in payroll rules and multi-business-unit reporting than ServiceTitan's top package
- No commercial project editions
AI
Housecall Pro includes Analyst AI, Marketing AI, Coach AI and Help AI free on every plan. Only CSR AI, the phone agent, is paid.9 ServiceTitan lists an AI Virtual Agent as a Pro product, with no published price. If AI call answering matters, ask both to demo it on recordings of your own calls.
Setup and day-to-day
Housecall Pro is self-serve. Most small crews load customers and prices and start booking within days, and its help center describes free self-serve imports for customers, jobs and the price book, with a hands-on data team on Max.10 ServiceTitan is an implementation project. Expect weeks of configuration (business units, job types, pricebook, memberships, reports) and someone in your office who owns the system afterwards. Shops that invest in that get a lot back. Shops that don't often feel they're paying for depth they never use.
Office staff. Housecall Pro's office side is uncluttered, and a new CSR can book and invoice on day one. ServiceTitan gives a trained CSR more depth, with call booking on every plan and Contact Center Pro available, but most shops plan formal training.
Technicians. Both have iPhone and Android apps. ServiceTitan's ties into its pricebook, estimates and the managed-technician rules above. Housecall Pro's pricing page lists offline viewing; if your techs work without signal, test both apps in a basement during the demo or trial.
Owners. Housecall Pro's free Analyst AI answers report questions. ServiceTitan's advanced reporting is in The Works. Either way, ask to see a report you actually run each week, built live.
Payments
Housecall Pro's page says card rates start at 2.59%, with bank payments at 1%.1 ServiceTitan's Payments FAQ says pricing is custom per merchant.11 "Starts at" and "custom" are both invitations to ask. Get each vendor's effective rate on your actual card mix in writing, since on $1 million a year of card payments a quarter-point is $2,500.
Signs you've outgrown either one
Software size should follow the business, not the other way round. These are the signals we'd watch for, in both directions.
You may be outgrowing Housecall Pro when:
- you have two or more business units (say, service and install, or HVAC and plumbing) and need revenue, close rate and payroll split by unit every month;
- commissions depend on rules your office now calculates in a spreadsheet after every pay period;
- a dedicated CSR team books from scripts, and you want call recordings scored against them;
- you need marketing spend tied to booked revenue by campaign, not just lead counts.
You may be paying for more ServiceTitan than you use when:
- you can't name which of your Pro products someone opened last week;
- your office still exports reports to a spreadsheet to answer basic questions;
- techs work around the app, so job notes and photos are thin;
- your ServiceTitan invoice divided by your tech count is well above what you'd pay elsewhere, and the renewal date is within six months.
None of these alone means switch. Two or three together usually do, and the right time to act is a quarter before your renewal or your slow season, whichever comes first.
Which should you choose?
Housecall Pro if you're under about 10 techs, want to start quickly, value published prices and no contract, and can live with per-user pricing and unpriced add-ons.
ServiceTitan if you're 25+ techs, run multiple crews or locations, have office staff to own the system, and will use the Pro products enough to justify a quoted, contracted price.
In between, roughly 8 to 25 techs, neither is a natural fit. Housecall Pro gets thin on the ServiceTitan-style structure larger mechanical shops rely on, and ServiceTitan's cost and setup can feel heavy. That's where we'd suggest comparing a third option. TradesWork is built for this size: $79 to $139 per tech or sales seat a month on annual billing, published, with office staff free, month-to-month, memberships and good/better/best estimates from the middle plan, and a tech app that works with no signal. It costs more than Housecall Pro at every size in the table above except the 2-tech shop (2 × $99 = $198 a month on Pro, against $299 for Max), it's newer than both, and its financing lenders aren't connected yet. See TradesWork vs ServiceTitan for the detail.
Questions to ask in each demo
Ask ServiceTitan
- What is my per-technician price on each plan, and who counts as a managed technician in my shop?
- Is there a minimum monthly amount or minimum tech count?
- Which Pro products would I need for what you've shown me, and what does each cost?
- What is the implementation fee and timeline, and who does the work on our side?
- What are the term, renewal terms and price protection at renewal?
Ask Housecall Pro
- What do CSR AI, Pipeline, Payroll and Voice cost per month?
- What will my user count be in a year, and what will that cost on Max?
- How do recurring service plans handle visits due and failed card payments?
- What can techs do with no signal?
- What card rate will I get on my actual mix?
Put both answers side by side as a 12-month total, including setup.
Moving between them
Shops go both ways. Growing Housecall Pro customers move up to ServiceTitan when they add a call center, multiple locations or commercial work. ServiceTitan customers move down, or across, when the bill outgrows the value they get from the depth. Housecall Pro even publishes its own guide to cancelling ServiceTitan, covering the customer export and the data-retention window.12
Either way, customers and price book items are the easy part. Job history, memberships with remaining visits, and stored cards need a plan. Export everything before you give notice, keep the old data as a read-only archive, and move one crew first.
