Moving from Workiz to TradesWork takes about six weeks done properly: two weeks to export and set up, two to four weeks running both systems, and a phone port running in the background from the first week. The work isn't hard, but the order matters, and Workiz's contract decides when you can actually stop paying.
One thing up front, because it shapes the whole plan: TradesWork has no dedicated Workiz importer. Your customers and price list come across by spreadsheet. Job history, invoices, estimates and service plans stay in your exported files as an archive. This guide is written by TradesWork; Workiz facts come from its help center, pricing page and terms, checked October 15, 2026.
The whole move on one page
Week -2
Contract and exports
Find the Auto-renewal date and notice deadline. Run all Workiz exports. Email Workiz support for the full item list and any client export you can't run yourself.
Week -1
Sandbox import and port
Import customers and the price list into a sandbox company. Fix rejected rows. Start the phone port with your new provider and Workiz support.
Week 1
Set up and rebuild
Import into your real company. Rebuild memberships with billing held, automations, templates and checklists. Train the office.
Week 2
One crew live
Put one crew on TradesWork for new jobs while Workiz runs everything else. Re-drop fresh client exports to keep records current.
Week 3
Cards and members
Send card links to members. As each card is saved, start their TradesWork membership billing and cancel the Workiz plan.
Week 4
Full cutover
Move remaining crews and the office. Confirm the port is done. Set the QuickBooks cutover date. Run final Workiz exports.
Before the deadline
Notice and close-out
Email notice to cancel@workiz.com at least 30 days before term end, keep the reply, and delete ported numbers from Workiz.
Start with the contract, not the data
Workiz's help center says all plans are purchased on annual contracts, paid monthly or annually, and that each plan has its own renewal date shown next to Auto-renewal on the Billing page.1 Its terms set a 12-month term that renews automatically unless you give written notice at least 30 days before it ends, sent to cancel@workiz.com.2
Three more lines from the terms matter for planning:2
- Termination takes effect at the end of the current term.
- Pre-paid fees aren't refunded, and amounts due under the original term remain due.
- At termination you immediately lose access, and Workiz may permanently delete your data.
Seats don't help either: the Billing FAQ says removing users doesn't lower your seat count or price during the contract, though you can reduce seats ahead of renewal.1 So the cheapest switch lands your side-by-side run in the weeks before your renewal date. Work backwards from it.
What moves, and what stays behind
- All clients.csvImportsCustomers, each with a first service locationName is required; map Client ID, phone, email and address. A company name with no person name imports as commercial.
- Item list from supportImportsPrice bookName and price required; code, description, category and cost if you map them.
- Items and Services.csvPartlyPrice book (items you've sold)Only items used on jobs or invoices in the range, so it's a fallback for the full list.
- Jobs.csvKeep as archiveYour archiveJob history doesn't import from a spreadsheet.
- All invoices.csv, All estimates.csv, Payments.csvKeep as archiveYour archiveHistory is already in QuickBooks; re-quote open estimates in TradesWork.
- Service plans (recorded by hand)Keep as archiveYour membership rebuild listRe-create each active plan as a TradesWork membership.
Our Workiz export guide has illustrated click paths for each. The All clients report is Workiz's full client directory,3 and it's part of the new reporting engine, which Workiz says is in a beta you join through support. If your account doesn't have it yet, ask Workiz support for a client export in writing. For the price list, the Items and Services report only lists items you've actually used on jobs or invoices,4 so a full item export from support is better.
Tidy the files before you drop them
Ten minutes in Excel saves an hour of fixing rows later. Work on a copy and keep the original Workiz export untouched as your archive.
- One row per customer. If the All clients file repeats a customer for each address, keep one row with the main service address and list the others to add by hand.
- Check the duplicates Workiz already has. Two records for the same household come across as two customers. Merge them in the file now, not in TradesWork later.
- Fix the price cells. Every item row needs a name and a number in the price column. Replace text like "see notes" or "call for price" with a number, or leave it empty.
- Drop what you don't sell any more. Inactive items are easier to leave out now than to archive one by one.
- Keep the ID columns. IDs are what let a re-dropped file update records instead of duplicating them.
Clients with an active service plan are worth flagging now: the plan name and status columns on the All clients report do that for you, so keep them in your archive copy and use it as the list for card links and membership rebuilds.
Bring it into TradesWork
In TradesWork, go to Settings › Integrations and open the importer. You need the Owner or Admin role. It reads files you export yourself: CSV, Excel or a ZIP, up to 50 MB per drop. It never logs in to Workiz, and there's no connection to Workiz's systems. Click through the real screens:
1. Choose Another system or a spreadsheet
The importer opens on a source. Press Another system or a spreadsheet in the row of source buttons; Workiz doesn't have its own button.

Before you press Import, Preview: your data in TradesWork shows the first 20 rows exactly as they'll appear. Nothing is saved until then, and imported records never post to accounting.
Three details from the spreadsheet importer:
- Each client's address becomes their first service location. Workiz's default All clients columns stop at city, so add street, state and zip before you export.3
- Map the Client ID column. During the side-by-side run, a re-dropped client file then updates the same customers. Without an ID, customers match on name and address, and anyone whose name or address changed looks new.
- Prices tolerate a $ sign and commas, but text like "call for price" is rejected with the row listed. Use a number or leave it empty.
Set up by hand
- Service plans. Re-create each active Workiz plan as a TradesWork membership (Pro and up), with price, billing frequency and next visit. Workiz's help center says cancelling a plan "permanently deletes all upcoming visits, jobs, and scheduled payments,"5 so note those before you cancel anything.
- Automations and templates. Review reminders, follow-ups, and estimate and invoice templates in Workiz, and set up their equivalents.
- Checklists, forms and pricing rules. Rebuild the ones your techs use.
- Subcontractor workflows. Workiz sends job details to free subcontractor users by text or email with a confirm link.6 TradesWork has no subcontractor feature, so decide how you'll hand off subbed jobs before you switch.
- Reviews stay on Google and Yelp.
Run both side by side
Put one crew on TradesWork for new jobs while Workiz runs everything else, for two to four weeks. Keep Workiz as the source of truth for clients during that time. Each week, re-export All clients and your item list and drop them again: customers match on the Client ID you mapped, price list items on ID or code, so nothing duplicates. When the pilot crew is comfortable, move the office, then the rest.
Cards on file
Workiz's help center says that when a client saves a card, "your business will not have access to the payment details."7 Nothing to export. TradesWork never sees card numbers either. Connect your own Stripe account in TradesWork first; customers then re-save a card on their next payment, or you send them a link.
Order matters for recurring plans. For each member: set up the TradesWork membership with billing held, get the customer to save a card in TradesWork, then cancel the Workiz plan so its scheduled charges stop. Doing it the other way round risks a gap or a double charge.
Phone numbers: porting out of Workiz
Workiz describes the port-out like this:8
- Contact your new provider and ask it to start the transfer.
- Contact Workiz support to request a port-out for the numbers you list.
- Workiz asks its underlying telecom provider for the details and emails them to you: customer service record, account holder name, service address, account SID, and a port-out PIN, which is generally only needed for US numbers.
- You give those to your new provider, which submits the port.
Workiz says it "cannot submit the request to your new provider on your behalf," and the timeline depends partly on how fast its provider issues the PIN. Your numbers keep routing through Workiz until the port completes. For help after you submit, Workiz lists porting@workiz.com.
In TradesWork, the port-in starts at Settings › Phones › Numbers, Routing & Texting › Bring your numbers. Allow 1 to 2 weeks, and start in week one. Text-message registration starts fresh in TradesWork.
Accounting cut-over
Connect TradesWork to the same QuickBooks Online company Workiz syncs to, and set a cutover date. Only invoices and payments created in TradesWork after that date post to QuickBooks. Your history is already in QuickBooks, and posting it again would duplicate it. On cutover day, turn off the Workiz QuickBooks sync so only one system posts new work.
Cost of switching
Use your own numbers. The examples are illustrations, not quotes.
| Cost | How to estimate it | Example |
|---|---|---|
| Overlap months | Months you pay Workiz and TradesWork together | Example: 1 month if you switch at renewal |
| Office hours for exports and cleanup | Hours × your office wage | Example: 12 hours × your rate |
| Re-collecting cards | Members on recurring billing × a few minutes each | Your number |
| Phone port fees | Check your new carrier | Check your carrier |
| Training | Hours per tech and office person | Example: 2 hours each |
| Rebuilding plans and automations | Active plans plus rules you rely on | Your number |
| Renewal exposure | Missing the 30-day notice renews 12 months; pre-paid fees aren't refunded2 | Your remaining term |
On the TradesWork side: $79, $99 or $139 per tech or sales seat a month billed annually, or $91, $114 or $160 month-to-month, with office staff free and a 14-day trial with no card.
Workiz to TradesWork checklist

- Clients, jobs, invoices, estimates and payments exported to CSV
- Full item list requested from Workiz support in writing
- Active service plans recorded: price, frequency, next visit
- Phone port started with new provider and Workiz support
- Customers and price list imported into a sandbox, then live
- Failed rows downloaded, fixed and re-dropped
- Memberships rebuilt with billing held
- Cards re-collected before each Workiz plan is cancelled
- QuickBooks cutover date set and Workiz sync turned off
- Port confirmed done, then numbers deleted from Workiz
- Notice emailed to cancel@workiz.com and the reply saved
- Final exports stored in two places
When not to switch
Stay on Workiz if subcontractors carry real volume, if you rely on Workiz Pay financing, which it lists on every plan,9 or if you need job history live inside your new system rather than in an archive. TradesWork is new, lenders aren't connected yet, and there's no route-day scheduling for lawn, pest or pool. Compare honestly on TradesWork vs Workiz or look at other options on Workiz alternatives.
